Safe Space Collaboration and Work Space Guidelines

These guidelines will be continually developed and updated in line with government guidance.

From May 17th

Meetings of under 1,000 or 50% room capacity are allowed.

From June 19th

All meetings, events, and conferences are allowed without restriction (all being well).

Many of you will be understandably anxious about the reinforcement of lockdown measures and what this will mean for meetings and conferences. We have put in place all of the government guidelines required to make our space as safe as possible for your use. Initially, we will only be allowing our staff and sponsors use of the space to minimise risk.

Overview of new etiquette practice

Admittance Please do not enter the space if you are unwell, or have recently been in close proximity with someone unwell.
Social distancing Please stay at least 1m apart from each other. .respect each other - where a mask when social distancing is not possible e.g. lift
Hand-washing There are hand-washing/sanitizing stations in each room, plus the kitchen and toilets - please use these regularly.
Sharing Please do not share pens, equipment, use sanitising products between uses etc. Each team member will be provided with their own desk, equipment and stationery

The capacities of our meeting rooms and collaborative workspace will be lowered to 50% so attendees can adhere to social distancing guidelines.

We will ask any visitors who are unwell, have recently been unwell, or have been in contact with someone who is unwell to stay away from the space to protect others. We also have QR codes for the NHS track and trace system in place to protect staff and visitors, please use these.

Being data experts, we have our own internal track and trace system for your additional safety.

Refreshments will be offered privately to your group, and the area santised during the day and individually packaged lunches will be available upon request.

Flexibility will be key and our cancellation policy will change to reflect the new way of working.

Cleaning

Our spaces have always been clean and hygienic - we have a 5* food standards hygiene award - however, the space will be regularly deep cleaned and disinfected. Regularity of cleaning will be increased to ensure all of our spaces, door handles, lecterns, furniture, AV equipment, tea and coffee stations, bins, etc, are regularly disinfected and sanitised to minimise risk in line with NHS guidance. We will also provide additional hand washing and sanitising facilities for staff, guests and visitors.

All of the team will receive training to ensure they are ready to handle new procedures, including new Health and Safety protocols and Covid-19 escalation and communication processes.

Getting to and from ODI Leeds

We would encourage you to walk, cycle, drive or safely use public transport. Bike storage is available on site, there are plenty of car parks in the immediate vicinity, and the main Leeds train and bus stations are within 10 minutes walking. Lockers can be provided to store personal items to minimise personal belongings being in shared spaces. Staggered arrival times will be advised to minimise waiting times for the lift.

Environment

We have adapted our physical space and our team will ask you to adhere to new behavioural protocols to allow us to maintain social distancing and to prioritise personal space. In particular, in the co-working areas and tea station area we will be implement the following:

  • Reviewing furniture layouts in co-working areas to ensure each member is able to socially distance comfortably from other co-workers
  • Creating behavioural signage reminding people to socially distance
  • Enhanced wayfinding, managing the flow of people in communal areas so that everyone goes in the same direction and reduces chance of hot spots or traffic jams
  • Systems and protocols for washing hands in addition to hand sanitisers particularly in communal areas

Meeting Rooms

ODI Leeds lends itself well to the new social distancing guidelines as our space is large, light, and well ventilated with super high ceilings and multiple windows - it offers the perfect space to work together safely.

  • New capacity and seating guidelines to maintain social distancing
  • Hand sanitizers and hand washing stations in the meeting rooms, and common area.
  • Member hosts will provide teas and coffees for your guests to minimize numbers of people in the communal area
  • Behavioral signage to support social distancing
  • Web cameras, video conferencing and microphones available

Flexibility will be key and our cancellation policy will change to reflect the new way of working.
